How lot identifiers connect a physical vial to its analytical record, and why that chain is the basis of procurement evidence.
The chain
Production lot → vial label → certificate of analysis → supplier archive → purchase record. Each link must reference the same identifier for the chain to hold.
Where chains break
Relabelled vials, certificates reused across lots, archives that only show the current batch, and order paperwork that omits the lot are all common failure points.
Audit use
Institutions that must evidence what was used in a study need the lot recorded at the time of purchase, not reconstructed afterwards.
Practical step
Record the batch number on receipt, alongside the order reference, before the vial enters storage.
